01. OVERVIEW

During the individual or bordereau transfer process, the system changes the collection status of the bill. According to this change, it is possible to account for this transaction by means of a specific standard entry.

02. ONLINE AND OFFLINE ACCOUNTING

The process of accounting for the collection status change can now be performed online or offline.

For the offline booking to work, the system must be properly updated with the continuous dispatch generated after August 2020 or with a Protheus release equal to or later than  12.1.31with its respective data dictionary.

To check the update, it is necessary that the data dictionary contains the table FWI - CTB Collection Status, and the question "Online accounting?" In the group of questions of the following routines, FINA060 - Transfer, FINA061 - Receipt bordereau with taxes, FINA590 - Bordereau Maintenance, and FINA200 - CNAB return.

With the new question enabled in the routines (Online accounting?), the "Account transfer?" becomes obsolete and is no longer included in the routines mentioned. From this moment onwards, the accounting can be registered online or offline.

03. OPERATION

The table created FWI will register the collection status transactions for later accounting; as bill registration (SE1) is a registration table with fields impacted by the transactions, some information will be taken to FWI to enable its use during offline accounting.

FWI must have the same sharing of table SE1

These are the information that can be used when accounting.

The bill collection status at the operation time.

The bill collection status to which the bill was sent.

Bank, bank branch and account to which the bill was bonded.

Bank, bank branch and account to which the bill was changed. 

Bill's original value at the transfer time.

Bill balance at the transfer time.

For portfolios with the "Discounted" characteristic

Discount value applied to the discounted operation.

IOF value applied to the discounted operation.

 For operations with bordereau, the bordereau's registered number.

This information is saved at runtime to ensure that, on the offline run, we have the details needed for accounting.


Transaction particularity with Discounted characteristic

When the discounted operation is used, you can set the posting option for the bill in question. This post will be accounted by LP 522 (Discounted) or LP 528. In online operation, the posting transaction will be on the same accounting document of the transactions that change the collection status. In the offline process, this posting transaction will be separated from the transactions that change the collection status.

04. STANDARD ENTRY


For all the entries mentioned above, we have the tables below enabled during their processing:

- SE1 – Financial bill registration

- SEA – Bill identification in the bordereau tracking. (Also used in simple transfers)

- FWI – Record of collection status change.


Within the process of accounting for the discounted collection status amounts, we have a second possibility of accounting where it is possible to recover the amounts from the agreement made with the bank/credit company.

At this point we will no longer have the SEA/SE1 tables selected; we will only have selected the bank transaction record created, the FWI support table and variables with the values for use according to the routines.


Point of Attention

There are different behaviors in the online/offline accounting process, for issues of whether or not you have the information at runtime. The configuration is defined according to the need of the data to be used. Example: In the online accounting process, you can use the bordereau number registered in the bill itself (E1_NUMBOR), but for the offline process, this information must not be recovered from SE1 but from the FWI - FWI_NUMBOR that was saved at the transaction time. This evaluation should be done in the project implementation period according to the information needed for accounting/tracking record.
