In this document, we explain in details how to add Fixed Assets acquired with accrued depreciation, or that are controlled in other systems/spreadsheets.
The user may add assets through purchases, in routine MATA103, then classify the asset (ATFA240) or manually in routine (ATFA012 - Assets).
You may also add assets automatically through ExecAuto of routine ATFA012 or through MILE importer. Be mindful that these options are customized and the customer is responsible for filling in the fields perveived as needed.
Protheus does not depreciate assets retroactively, but you can add them with accrued depreciation, so the system may know how much an asset has already depreciated and continue depreciating it on a monthly basis.
Therefore, when you add an asset that already has depreciation, fill in the fields for acquisition start, depreciation start date and accrued depreciation as usual, using the data from when the asset was in fact acquired.
Example:
You are using a spreadsheet to control an asset that you have not yet registered in Protheus. The asset is at the company since 1/1/2020 and you will register it to begin depreciating month by month starting on 1/1/2024.
So parameter MV_ULTDEPR of the branch in which you will register the asset must be equal to 20231231 and you can feed the asset as in the image below:
Thus, the system creates the records of addition (N4_OCORR = 05) and of accrued depreciation (N4_OCORR = 06 and N4_TIPOCNT = 4) in the transactions table, as well as in SN3, which also records these values. The asset can depreciate month by month as usual, ceasing to depreciate as soon as the value of accrued depreciation reaches its original value. Be mindful that this example illustrates a linear depreciation, but the asset must stop depreciating in accordance with its depreciation rule.
To display the fixed asset in record F120 of Contributions EFD, make sure you fill in the following fields of the fixed assets register.
In the Asset's Data Tab, in field PIS Calc. (N1_CALCPIS), enter 1-Yes or 3-Fraction.
In the Tax Tab, fill in all fields and, in field CB Cred. Code (N1_CODBCC), enter 09 or 11 (in accordance with the layout of record F120).
After registering the fixed asset, you need to process the depreciation in Miscellaneous > Processing > Monthly Calculation. As our example shows, it searches the last calculation based on parameter MV_ULTDEPR.
After executing the depreciation in module Fixed Assets, you need to execute/generate Contributions EFD through module Tax Management.
