The wcmadmin user is used for initial settings, such as creating new companies and setting respective administrators, for example. In addition, it includes settings related to the environment and infrastructure such as the e-mail server, license server, data volume, access and authentication URL.

The following tabs make up the wcmadmin user’s Control Panel:

  • General: it is where they can manage the company’s data volume and control Digital Subscription licenses, if enabled;
  • ECM: in this tab, ECM 3 databases are converted and Connect is enabled;
  • WCM: it contains the options to manage companies and systems, such as access URL, integrated authentication, integration with TOTVS Identity and Fluig Analytics, customization, and platform parameters.

Basic Path

 

01. Access the platform.

02. Enter the wcmadmin user.

03. Enter the adm password.

04. Click Access.

05. Click the Control Panel icon.

06. In the General tab, click Volumes.

07. Click Add.

08. On the New Volume screen, you should select the company and click on the magnifying glass icon.

09. On the Company screen, select the desired company.

10. Click Confirm.

11. Enter the code.

12. Select the Volume type.

13. Enter the physical directory.

14. Enter the maximum size in MB.

15. Click Save.

Edit Volume

 

01. Select Volumes on the desktop.

02. Select the volume you want to edit.

03. Click Edit.

04. Enter the fields you want to edit.

05. Click Save.

 

Delete Volume

 

01. Select the Volumes you want to delete.

02. Click Delete.

03. Click OK to confirm the deletion.

 

 

Speaking of volumes...

The platform allows the published documents to be stored in different volumes according to the system administrator configuration, with the objective of better distributing the physical documents.

The use of multivolume offers better conditions to administrate the document physical allocations.

Workflow Attachment – It is the volume used to record documents attached in workflow process requests. It is possible to create several volumes and the definition of which volume should be used for each process is determined in the Workflow Process Registration function. When registering the "Workflow Attachment" type, entering the physical directory for the volume is mandatory. After registering the volume, it is possible to change the RPW physical directory and the volume physical directory. In this situation, it verifies if the volume is associated with some workflow process and, if it is, a message asking about the change is shown. When the change is confirmed, you need to execute the content transfer from the previous directory to the new one. It is only possible to delete volumes of "Workflow Attachment" type when there are no workflow processes related to the volume.

Default – It is the volume used for document folders, private folders and workflow process that are not associated with specific volumes. This volume is shown only when changing the directory information. It is not possible to delete the "Default" type volume.

Document – It is the volume used for recording documents published below determined folder. A document type volume can be associated only with a single folder and the same folder can only be associated with a single volume. When registering the "document" type volume, the folder associated with the volume must be empty (without document or subfolders). It is not possible to change the folder after creating the volume, it is only possible to change the RPW physical directory. The folder can only be changed when the volume is disassembled. A volume is disassembled when its content is moved or when the root folder is deleted.

It is only possible to delete "document" type volumes when the folder associated with the volume is empty. In this situation, the folder is moved to the same volume of the "Parent" folder. If the folder is a "root" folder, it is moved to standard directory.

My Documents – It is the volume used for recording documents located at the private folder of each user. It is possible to create several volumes and the definition of which volume should be used for each user is done in the User Registration function. When registering the "private folder" type, entering the physical directory for the volume is mandatory. After registering the volume, it is possible to change the RPW physical directory and the volume physical directory. In this situation, it verifies if the volume is associated with some user and, if it is, a message asking about the change is shown. When the change is confirmed, it is necessary to execute the content transfer from the previous directory to the new one.

It is only possible to delete "Private folder" type volumes when there are no users associated with the volume.
