What is it?

In a simple way, Accounting SPED is the replacement of the books of bookkeeping for their digital equivalents.

How does it work?


From its accounting system, the company generates a digital file in the format specified in sole Appendix of Normative Instruction Brazilian Federal Revenue no. 787/07.

Due to the peculiarities of the various laws dealing with the matter, this file can be treated by synonyms: Digital JournalDigital Bookkeeping – ECD, or Electronic Bookkeeping.

This file is submitted to validate and sign program – PVA provided by SPED. Through the PVA, perform the following steps:

  • Validation of the file containing the bookkeeping;
  • Digital signature of the book by persons that are empowered to sign, according to the records of the Trade Board and by Accountant;
  • Generation and signature of application for authentication sent to the Board of Trade of their jurisdiction. For generation of application is essential, except for the Board of Trade of The State of Minas Gerais, to inform the identification of the collection document in the price of authentication. Check the Board of Trade of your jurisdiction how to obtaining identification.

After signing bookkeeping and application, make a transmission to the SPED. After transmission is completed, a receipt will be provided. Print it, because it contains important information for the practice of later acts.

After receiving the ECD, the SPED draws a summary (ApplicationOpening Statement and Closing Statement) and sends it to the Board of Trade.

After receiving the price, the Board of Trade will review the application and the Digital Book. The analysis could generate three situations, all with its own statement:

  1. Authentication of the book;
  2. Rejection;
  3. Under requirement.

Important:
For a book classified as under requirement by the Board of Trade be authenticated, after the requirement are met, it should be submitted again to the SPED. There is no need to pay the authentication price again. You must generate a specific application to replace the non-authenticated books under requirement.


PVA also includes features to view the bookkeeping and generate/restore backup.

After authenticating the bookkeeping, measures must be taken to avoid deterioration, loss or destruction of digital books.

It consists of two main files: the digital book and authentication (aut extension).

Also make a copy of the application file (rqr extension) and of the delivery receipt (rec extension). All files have the same name, varying only the extension.
