01. OVERVIEW

The financial transactions display all the company's inflow and outflow.

02. ABOUT THE SCREEN 

The screen is divided into four tabs: General, Inflows, Outflows, and Consolidated

03. GENERAL TAB 

The General Tab has Inflow and Outflow information in a summarized way.
In the respective positions, we can view the following values:

  • Initial Balance: The consolidated position since the start of the period.
  • Inflows: Bills receivable in the next 30 days.
  • Outflows: Bills payable in the next 30 days.
  • Balance in Applications - Total of values in an application (This feature will be available for release 12.1.2210)
  • Final balance: Expectation of final balance.

CASH FLOW

The cash flow displays a chart set as default with the monthly display of the last 12 months and the sum of Inflows and Outflows. If you click the captions, you can view only inflows or outflows.If you hover the mouse over the bars, you can see the values in detail.

For bills in bordereau, the cash flow considers the configuration of "withholding days" (A_RETENCA) of the bank to display the bill according to its due date + bank withholding days.

Bill Update

Any change to the bill will reflect on the cash flow of the New Financial Manager after the execution of the FINA711 job.

BUDGETS

Budget Rules

The Budgets correspond to the month/year registered for a nature, therefore, they will only be displayed when the Period Selection of the cash flow is Monthly.


If the options Display Revenue Budgeted and/or Display Expense Budgeted are enabled, the cash flow displays a series with a monthly exhibition (only), current month, and next 12 months containing the sum of the Revenue and/or Expense budgets.

ACCOUNTS RECEIVABLE/ACCOUNTS PAYABLE

In the third session, we have two Cards representing, respectively, the Accounts Receivable/Accounts Payable:

  • Accounts Receivable: Displays the sum of accounts receivable in the selected period, and accounts receivable in other periods according to the Monthly/Weekly/Daily selection.
  • Accounts Payable: Displays the sum of accounts payable in the selected period, and accounts payable in other periods according to the Monthly/Weekly/Daily selection.



SELECTION OF PERIOD

You can set up the expectation of Balances, Inflows, and Outflows using the Monthly/Weekly/Daily selector.


SET UP CASH FLOW DATA

You can set up the cash flow data in three different manners: Cash Flow - Display Options, Customized Filters, and Bank Account SelectionFor that, click the Configure button as in the pictures below:

CASH FLOW (OPTIONS FOR DISPLAY)

 This configuration allows you to change the values to be displayed in the chart and the cash flow calculations (except budgets). The options are:

  • Display overdue incoming bills - Adds to the cash flow the overdue incoming bills (F75 - Bill Balances).
  • Display overdue outgoing bills - Adds to the cash flow the overdue outgoing bills (F75 - Bill Balances).
  • Display Purchase Orders - Adds to the cash flow the purchase orders (F76 - Order Balances).
  • Display Sales Orders - Adds to the cash flow the sales orders (F76 - Order Balances).
  • Display only released bills - Adds to the cash flow the sales and purchase orders released (F76 - Order Balances).
  • Display Income Budgets - Adds to the cash flow the income budgets (SE7 - Budgets).
  • Display Expense Budgets - Adds to the cash flow the expense budgets (SE7 - Budgets).
  • Consider only the current month - The sum of the cash flow will be only for the records (F75 -Bill Balances and F76 - Order Balances).
  • Consider Applications - Displays the values according to the options:
    • All - Displays the total of pending invested values.
    • Do not consider - Does not show values. The fields will be displayed with a "0" value.
    • Consider Released - Displays only applications with the Release Date field filled in (SEH - Application/Loan Tracking).
  • Type of Balance - Sets which balance types of the selected accounts will be used when calculating the cash flow:
      • Regular - Uses the default balance (Reconciled and Not Reconciled).
      • Reconciled - Uses ONLY the reconciled balance.
      • Not Reconciled - Uses ONLY the balance not reconciled.


Notice

The Type of Balance field is available for release 12.1.2210 from the continuous dispatch of the 2023 financial module. 

Filter for blocked orders

A new option to display blocked (non-released) sales and purchase orders according to the F76_BLQLIB field of the F76 - Order Balances table. To display blocked orders, just deselect the parameter "Display only released orders", which is selected by default.

  


Notice

The functionality for displaying blocked orders is available for release 12.1.33 from the first continuous dispatch of the September 2022 financial module. 


SELECTION OF BANK ACCOUNTS


In the bank account selection, you can choose which banks will be involved when displaying bank transactions.

This configuration allows search filters and the selection of specific banks and branches.

CUSTOMIZED FILTERS


In the Filter Manager, you can register Customized Filters using the fields and create conditional expressions for the cash flow.

Important

All configurations made for the cash flow will be stored in the user profile.

04. INFLOW AND OUTFLOW TABS

The Inflows and Outflows tabs have similar features, but each one represents its status. Plus, the Inflows tab will correspond to Bills Receivable, while Outflows will correspond to Bills Payable.

The bills to be presented may or may not be configured for cash flow (E1_FLUXO, E2_FLUXO), i.e., all bills receivable/payable. Thus, these tabs are not linked to the cash flow.


INFLOWS DUE AND INFLOWS OVERDUE

In the first section, we have the sum of Inflows Due and Inflows Overdue, as well as their percentage. By hovering the mouse, you can have more detailed information on the value in the period.


INFLOWS TABLE

In the second section, we have an Inflows Table available with the last 10 records.

Here, the information of the entire database is shown regardless of the filters and configurations of the Overview and Consolidated tabs. Filters are only applied using the Advanced Search button. 

VIEW

View the record in detail, categorized by tabs.


EXPORT REPORT

Export data on screen, or full data for Excel.

The export will load updated values from table F75. 

The F75_TXMOED - Currency Rate exported to the spreadsheet is used to store the rate used to convert the bill balance. This field will not store the rate used when posting the bill.

When a bill is posted in foreign currency with no balance and no contracted rate, the F75_TXMOED field will be updated to value 0.


QUICK SEARCH

Search by the bill number.

ADVANCED SEARCH 

The advanced search has various fields that can be combined to form a set of customized filters, and thus it is possible to precisely locate records that depend on a combination of varied conditions.


05. CONSOLIDATED TAB

News

Feature available for release 12.1.33 through the continuous dispatch package of Financials with a date later than September 2, 2022.


Cash flow consolidated by periods, with an option for exporting to a spreadsheet. 

The balances in cash and the bank allow the edition to simulate results with the balance entered.

       In applications, will show values in an application (this feature will be available for release 12.1.2210). 

The export to the spreadsheet will display, in the first table, the balances of bills overdue, balances in cash and banks, and total payable and receivable.

The second table will present the consolidated value on screen.

The third table will load the bank balances used.



Important

The Export button has two options (Excel and PDF). To export via PDF, TOTVS Printer (printer.exe) must exist in the SmartClient and Appserver folders (of all services that may exist in the environment).

TOTVS Printer is a binary file (printer.exe or totvsprinter.exe, depending on the ERP) used as a printing agent. Its execution is made by a command line in which the arguments orient the printing.

Its function is to generate reports with output in a PDF document, XLS spreadsheet, or directly to a printer when used in conjunction with the FWMSPrinter class, and also to produce 2D barcodes in image file formats using plain text as a data source.

Obtain the version

To know the TOTVS Printer version, access the installation folder and run the command line printer.exe -v on Windows or ./printer -v on Linux and Mac.
We do not recommend making direct calls to the TOTVS Printer binary. It is usually called internally by the ERP system when printing certain types of reports generated through the FWMSPrinter class, TReport, and the file2printer() function. That way, it is necessary that the TOTVS Printer binary is located in the installation folder of TOTVS | Application Server and TOTVS | SmartClient.
This printing agent requires an Operating System with a graphic interface. Specifically for TOTVS Application Server running on the Linux operating system without GUI, an alternative exists for PDF printing. See the documentation TOTVS Printer Agent for Linux without GUI.
On Linux, the graphic interface must be based on X11 (Xorg). More recent operating systems, by default, can be based in Wayland, and, in this case, the TOTVSPrinter agent will not work.
For example, Red Hat Enterprise Linux 8 and Ubuntu 17.10 use Wayland by default, but allow it to be changed to X11 in a simple manner. On the login screen, click the gear icon and select Ubuntu on Xorg on Ubuntu 17.10, or Standard (X11 display server) on Xorg or Classic (X11 display server) on RHEL8. For more information, check the documentation of the operating system used.

In the MacOS, we have only TOTVS Printer compiled in the 32-bit version due to compatibility issues with third-party libs. The only way to print in MacOS is via a server.

32-bit applications will only work until version High Sierra (10.13.x) of MacOS (https://support.apple.com/pt-br/HT208436). More recent versions will no longer run 32-bit applications.



CONFIGURATIONS

           

  • Periodicity - the type of date grouping for display, which may be daily, weekly, every 10 days, every 15 days, or monthly.
  • Number of periods - the number of periods to be displayed.
  • Display overdue incoming bills - displays the value of bills receivable overdue and sums the value to the initial balance.
  • Display overdue outgoing bills - displays the value of bills payable overdue and sums the value to the initial balance.
  • Display purchase orders - considers the value of the purchase orders in the periods
  • Display sales orders - considers the value of the sales orders in the periods
  • Display only released orders - Consider or not only purchase and sales orders without blocks
  • Display machine purchase order - Considers the value of machine purchase orders in the periods.
  • Display machine sales orders - considers the value of the machine sales orders in the periods
  • Consider Applications - Displays the values according to the options:
      • All - Displays the total of pending invested values.
      • Do not consider - Does not show values. The fields will be displayed with a "0" value.
      • Consider Released - Displays only applications with the Release Date field filled in (SEH - Application/Loan Tracking).
  • Type of Balance - Sets which balance types of the selected accounts will be used when calculating the cash flow:

Important!

To display machine purchase and sales orders, the MV_VEICULO parameter must be set to "S".

The machine purchase/sales orders will be available as of the December 2022 continuous dispatch of the financial module.

PROJECTION

News

Feature available through the continuous dispatch package of Financials with a date later than May 25, 2023. 


This will allow the user to change the incoming and outgoing values of the Consolidated tab thus projecting the values for the desired period.

Access the projection option in Other actions → Projection. After this step, the Input and Output columns will now be editable and only allow the insertion of positive values. If a negative value is entered in one of the columns, the calculation of variation, balance, inputs, and outputs will not be performed. The view of Details for that period will be prevented.

After projecting the values, you can generate a PDF or Excel file. To do so, access the options using the Other Actions button and select the desired file format.

When the projection is closed, the table will be reloaded with the initial values of the cash flow, and the Details view will be available again.

RESTORE SIMULATION

News

Feature available through the continuous dispatch package of Financials with a date later than June 20, 2023. 


It is also possible to restore the simulations created for the cash flow in the consolidated projection. To learn more about the process, see the topic Simulation of financial transactions. After restoring the simulation, the values will be added to the Inflow or Output column according to the period in which that simulated value fits, and the interface will be equal to the projection. It is worth mentioning that it will be possible to restore only one simulation at a time. If you need to change the simulation, click the Close button. After that, the screen will be reloaded. access again the option to restore simulation in Other actions → Restore Simulation and select the correct simulation.


06. SIMULATION OF FINANCIAL TRANSACTIONS

CREATING SIMULATIONS

To access the simulation, go to the General Tab and click the "Simulate Transactions" button. Then, access the simulation screen.


You can add a record to the simulation by entering the fields Type, Date, Description, and Value according to the necessity. After you add the simulation record, the data of the inflow and outflow charts will be updated.

SAVE/RESTORE SIMULATION

News

As of the first continuous dispatch of the financial module of October 2022, you can save and restore your simulation. The user can give a title to the simulation and save all items created to be able to use them again later.


To save, click the "Save Simulation" button and enter the mandatory simulation information.


After it is saved, the simulation can be accessed using the "Restore Simulation" button of the General Tab of the Financial Transactions screen:

DELETE SIMULATION

After adding a simulation, you can delete it using the "Restore Simulation" button of the General Tab of the Financial Transactions or Consolidated Cash Flow screens:

You can delete only the simulations made by your user, be them public or private. If the simulation was made by another user, the Delete button will be disabled.

07. CASH FLOW/CONSOLIDATED BREAKDOWN

News

As of the first continuous dispatch of the financial module of October 2022, you can detail the cash flow/consolidated.


This functionality allows the user to view the records that make up a period entered (either the series of the graph or the consolidated period).

    When you click a series of the cash flow chart, the details for the selected period are displayed, with the following values separately: Inflows, Outflows, Sales Orders, Purchase Orders, Income Budget (for monthly cash flow only), and Expense Budget (for monthly cash flow only).

    To view purchase/sale orders and income/expense budget, simply enable the parameters "View Purchase Orders", "View Sales Orders", "View Income Budgeted", and/or "View Expense Budgeted":

    Budgets

    In the details shown, you can view the budgeted value and the estimated value for each nature. The estimated value is the sum of the value of the bills (by nature) due in the selected month.

    Purchase Orders

    In the details presented, the date is calculated based on the payment term of the order:

    • For delivery dates after the current date, the payment term is applied to this date.
    • For past delivery dates, we use the payment term of the order added to the processing date, as the order will still be billed and paid from this date. 

    Clicking on the "Details" action of the consolidated table displays the details for the selected period, with the following values separately: Inflows, Outflows, Sales Orders, Purchase Orders, Machine Purchase Orders, and Machine Sales Orders.

    To view the purchase/sale orders, simply activate the parameters "View Purchase Orders" and/or "View Sales Orders":
